## Introduction

Once the arrangement is settled, it has to become documents: what is needed, where each piece goes, and how it will be obtained.

A furniture plan, an installation plan, a schedule, specifications and procurement records together form the project’s Furniture, Fixtures and Equipment (FF&E) package.

## From generic layout to final furniture plan

Three levels of certainty.

Furniture plans evolve with the design. Early on, the designer may know that a table must seat eight without having chosen its shape or maker; later the plan is tested with possible sizes; once the product is chosen, it carries the true dimensions and orientation. Never mistake a concept-stage block for a verified product.

### 1 · Preliminary layout

Generic furniture types, quantities and functional relationships.

### 2 · Coordinated layout

Refined forms, approximate dimensions and circulation.

### 3 · Installation layout

Selected products, verified dimensions, item codes and installation information.

## Drawing furniture in plan

Legible at the scale it is printed.

A furniture plan projects the furniture onto the floor plan. Walls, openings and fixed elements form the background; furniture is drawn strongly enough to read its shape and position. A concept plan can use rectangles and circles; an installation plan uses accurate product outlines. Manufacturers’ CAD blocks help, but check their accuracy, scale and level of detail, and avoid graphic clutter that will not survive the print scale.

*A library of plan symbols. Choose one to compare its generic block with a detailed, maker-derived outline.*

## Furniture identification codes

One code from plan to schedule.

An [item code](https://guide.rayon.design/lexicon/item-code) links a piece’s symbol on the plan to its line in the schedule and its specification. Identical items share a code: six dining chairs are all CH-01, their quantity in the schedule. Larger commercial projects may give one code to a whole group, such as a workstation cluster with its desks, screens, storage and accessories, and describe the components in the specification. Whatever the convention, explain it and apply it everywhere.

| Code | Item |
| --- | --- |
| **CH-01** | Dining chair |
| **CH-02** | Lounge chair |
| **SF-01** | Sofa |
| **TB-01** | Dining table |
| **TB-02** | Coffee table |
| **DS-01** | Work desk |
| **ST-01** | Freestanding storage |

## Furniture schedules

Plan, schedule and specification, in step.

A furniture schedule is a structured inventory of everything on the drawings, with what is needed to review, price, buy, deliver and install each item. It can sit beside the drawing or live as its own document; what matters is that plan, schedule and specifications say the same thing. Choose an item to follow it through all three.

## Specification sheets

The exact configuration, recorded.

A specification sheet records what a schedule line cannot hold: the product image, finish samples, material composition, technical data and installation requirements. A chair may come with several bases, upholstery types, finishes and options; its model name alone does not identify it. Record the exact configuration approved, and keep physical samples where colour and texture matter: photographs mislead.

## Furnishings and specialist equipment

Furniture, fixtures and equipment.

The [FF&E](https://guide.rayon.design/lexicon/ff-e) package often reaches beyond furniture. At home it can include accessories, mirrors, lamps and some appliances; in commercial interiors retail displays, office equipment and specialist seating. Artwork, inherited objects and collections matter to a client’s sense of belonging: plan them, do not add them at the last minute. Specialist equipment needs its maker’s data on power, plumbing, anchoring, maintenance access and installation; the designer coordinates it with the architecture and other disciplines.

*A living room, a workplace and a shop, each sorted into furniture, furnishings and specialist equipment.*

## Dimensioning installation plans

Dimension what must be exact.

Not every movable piece needs a dimensioned position. Installation plans dimension what achieves the intended layout: clearances, alignments, and interfaces with fixed architecture. A group of modular workstations may need dimensions from a wall, a column or a centreline; a freestanding lounge chair only its approximate place and orientation. Never dimension from temporary objects, and give fixed or connected equipment fuller coordinates and elevations.

*A workstation installation plan, dimensioned from the structural wall and column, with the alignments between groups, the clear widths and the power connections.*

## Coordinating furniture and services

One drawing, two disciplines.

Review furniture plans against the electrical, lighting and communications drawings. A desk sets where power and data go, a dining table its pendant, a display unit its connections; when the layout changes, they must change with it. On complex projects, draw a combined furniture and services plan, or compare aligned CAD layers.

*The same office with its outlets, data points and lights. Choose a desk to see what serves it.*

## Procurement, delivery and installation

Tracking every item to its place.

Furniture documents also manage buying and delivery. An approved product may be discontinued before ordering, a maker may offer a substitute finish, a late delivery may move the programme. Keep a procurement tracker with each item’s status, approved specification, quantity ordered, delivery date and installation status. When something is substituted, check that its dimensions, performance, finish and price still work, and check the final installation against the approved drawings and schedules.

*The six steps from selection to installation, each with the document or decision behind it.*

1. 1**Selection***Specification sheet* The product and its exact configuration chosen
2. 2**Approval***Signed schedule* The client approves item, finish and cost
3. 3**Order***Purchase order* Quantity, finish and delivery date confirmed
4. 4**Delivery***Delivery note* Arrival booked; access and handling checked
5. 5**Inspection***Inspection record* Quantity, finish and condition checked against the order
6. 6**Installation***Installation plan* Placed, assembled and fixed as drawn; handed over

## Quality control and final review

Before the package goes out.

Before issuing an FF&E package, confirm that drawings and schedules agree: every item on the plan identifiable in the schedule, quantities matching the arrangement, dimensions accurate, finishes clearly specified, special installation requirements stated. Check furniture against the electrical and lighting plans, give installers the dimensions and references they need, and keep the drawings legible: reduce or hide architectural detail until furniture, codes and dimensions read first.
